Lord of Grace Council Meeting
May 18, 2006



Members Present: Vicki Shearer, Pandora Larsen, Joan Travis, Corliss Jenkins-Sherry, Pastor Moe, Don Lawler, Ron Paul, Mike Stein, Carol Buuck, Pastor Hermansen

Not Present: Tania Schultz, Chris Pendelton

Vicki called the meeting to order at 6:50

Opening Prayer/Devotion

Welcome to New Members: Vicki Shearer

Vicki welcomed the new council members Pandora Larsen, Chris Pendelton and herself.

I. Mail, Constitution/Bylaws, Budgets

Vicki check with Tom regarding contract for Josh Lamoreaux

A building usage request for a community meeting was submitted. Request denied because the date requested interfered with the men’s group meeting. Vicki will call group representative to let them know.

Vicki will need to have fingerprints completed to comply with regulations for the preschool

II. Guest Speaker: Matthew Benner

Matt presented a project for his Eagle badge. He proposed building a prayer trail. Building of the trail will begin in September. Additional item such as a fire pit and ash garden may be added at a later date. The trail will require rock removal and trees trimmed. It would be approximately a two-day project. Matt will do the fund raising for this project.

Mike Stein suggested using some of the left over building materials in the building of the trail.

Don moved to approve the Eagle Scout proposal. Joan seconded the motion. The motion passed unanimously.

III. Modifications to and approval of Minutes: Carol Buuck

Review of Actions Items

- Vicki and Don will assimilate all the procedures into a book. Procedures will be approved as completed.

o -Preschool job descriptions (Aug. 2005) Continue

o -Preschool Contracts (Aug. 2005) Continue

- Vicki and Ron will develop the Safe Access Policy (July 2005) Continue

- Sunday School teachers should follow the same procedures as Preschool teachers for fingerprinting. Mary will follow up (Sept. 2005) Continue Mary is waiting for fingerprint cards (Nov. 2005) Still waiting. (Jan. 2006) Continue to Sept. 2006 for start of new Sunday School year.

- It was suggested that since attendance at Sunday School has been low, that the Education Ministry Team review the format of Sunday School for next year. (March 2006) Continue for new ministry team lead input.

- It was also discussed that some of the major 2005 expenses that were paid in 2006 be reviewed by Ron to move into 2005 to be able to reconcile the budget vs. actuals for 2006. Ron Paul was asked to include a Building Fund Report to Council and to add a monthly article in the LOG Newsletter to give a status of income vs. expenses. See report

- Tom recommended (April 205) that each council member schedule a meeting with Shannon and Ron to reconcile each ministry account Continue

IV. Pastors’ Reports: Pastor Dale/Pastor Chris

Pastor Moe: See Attached Report

Pastor shared the mission statement for each ministry team leader and team leader duties.

Pastor discussed the idea of establishing a “Dream Team” to develop a 3-5 year plan for mission and outreach.

Pastor discussed the possibility of moving Pastor Chris into the front office and changing the conference room into a work area. This will help with the space crunch with the new intern arriving in August.

Mike will meet with staff and bring a proposal to the next meeting regarding office space.

Pastor Hermansen: See Attached

Pastor met with Dorothy Green to discuss some in-home bible studies at Sun Flower.

V. Treasurer Report: Ron Paul

Ron and Shannon will meet with each council member to review each ministry account. Ron will meet with Wells Fargo to discuss shifting accounts from Bank One to Wells Fargo. Ron and Shannon are looking at changing to CompuServe for payroll. There may be a savings of $40-50 per month. Ron and Shannon will order updates to Shepard’s Staff.

Finance committee will review the financial process and will oversee the proposed budget.

Don and Ron will establish a meeting date for the finance committee.

Ministry Team Reports

Youth: Chris Pendleton See attached report

Property / Building: Mike Stein See attached report

June 16th Mike and Don will meet with our insurance representative to confirm that we are properly covered

Outreach: Corliss Jenkins-Sherry See attached report

Gift Giving: Don Lawler No report submitted

Discussed development of 3-5 year plan.

Worship / Stephen Ministry: Tania Schultz No report submitted

Pastor Dale and Tania will meet to establish schedule for worship meetings.

Education: Pandora Larsen No report submitted

Already have 53 children registered for VBS. The team is projecting that we will have more children than last year. Discussed purchasing TV’s and DVD’s for the Sunday School classrooms.

Fellowship: Joan Travis See attached report

Need to have good communication between committees so the Fellowship Committee is aware of upcoming events. Will be scheduling a cleaning day for the kitchen and making inventory of all items

VI. Old Business: Vicki Shearer

-Heritage Girls

Corliss reviewed information presented by Carol Campbell at the April meeting. Heritage Girls is a faith-based organization. Carol requested that Lord of Grace provide the funding for the Heritage Girls charter of approximately $200 per year and to cover the cost of fingerprinting for the leader and the assistant leader. In addition there is a request for a chairperson and representative from Lord of Grace for the Heritage Girls group. Lord of Grace would also be responsible for an insurance rider for liability.

There may be a conflict with the building usage with the Boys and Girls Scout.

Mike will discuss insurance questions on June 16, 2006.

Pastor Chris will contact Carol Campbell to gather additional information regarding insurance and building usage. Chris will also contact other churches that have sponsored Heritage Girls.

-Staff support: Jeff Grant, Caroline Nichols, and Phil Agnew are members of the committee.

VII. New Business

Council Retreat: Vick Shearer

June 9, 2006 5:00-7:00PM followed by dinner by dinner with spouses.

June 10, 2006 8:00 AM. Location to be determined

Other:

Boy Scouts have asked to sponsor a fund raising pancake breakfast on Father’s Day.

Joan moved to accept he offer of Cub Scout Troop 219 to hold a fund raising pancake breakfast on June 18, 2006. Corliss seconded the motion. The motion passed unanimously.

Dale will call troop leader to inform of approval.
