June 9, 2006 Members Present: Vicki Shearer, Pandora Larsen, Joan Travis, Pastor Moe, Don Lawler, Ron Paul, Mike Stein, Carol Buuck, Pastor Hermansen, Chris Pendleton Not Present: Corliss Jenkins-Sherry, Tania Schultz Vicki Shearer called the meeting to order at 5:10 I. Opening Prayer: Pastor Moe II. Modifications to and approval of Minute: Carol Buuck Ron moved to accept the April minutes with the following correction, “Don Lawler offered to contract as the Facility Security Manager.” Mike seconded the motion. The motion passed unanimously. Vicki moved to accept the May minutes as written. Joan seconded the motion. The motion passed unanimously. Review of Action Items Vicki will check with Tom regarding contract for Josh Lamoreaux (May 2006) Contract is signed. Completed Vicki check with Tom regarding computers (May 2006) New computers are in place. Completed A building usage request for a community meeting was submitted. Request denied because the date requested interfered with the men’s group meeting. Vicki will call group representative to let them know. (May 2006) Completed Vicki will need to have fingerprints completed to comply with regulations for the preschool (May 2006) Completed Vicki will talk with Cathy Lundeberg about sending clearance card to Department Of Health Vicki and Don will assimilate all the procedures into a book. Procedures will be approved as completed. o -Preschool job descriptions (Aug. 2005) Continue o -Preschool Contracts (Aug. 2005) Continue Vicki and Ron will develop the Safe Access Policy (July 2005) Continue Limit number of people that have access to the safe. Discussed transferring to a fingerprint code instead of number code. Sunday School teachers should follow the same procedures as Preschool teachers for fingerprinting. Mary will follow up (Sept. 2005) Continue Mary is waiting for fingerprint cards (Nov. 2005) Still waiting. (Jan. 2006) Continue to Sept. 2006 for start of new Sunday School year. The cost for fingerprinting is $46 per teacher plus $5.00 for processing. This cost will need to be in the budget. It was suggested that since attendance at Sunday School has been low, that the Education Ministry Team review the format of Sunday School for next year. (March 2006) Continue for new ministry team lead input. Forum scheduled for June 12th. Continue Tom recommended (April 205) that each council member schedule a meeting with Shannon and Ron to reconcile each ministry account. Continue Mike will meet with staff and bring a proposal to the next meeting regarding storage space. (May 2006) Continue Don and Ron will establish a meeting date for the finance committee (May 2006) Continue Pastor Chris will contact Carol Campbell to gather additional information regarding insurance and building usage. Chris will also contact other churches that have sponsored Heritage Girls. Completed Boy Scouts have asked to sponsor a fund raising pancake breakfast on Father’s Day. Treasurer Report: Ron Paul See Attached Report Vicki and Ron signed off on the new mortgage on 6/9/06. Accounts are being transferred to Wells Fargo. Christine Willis and Kathleen Good are the contact persons at Wells Fargo A separate Script Fund is no longer needed. This account will be closed and transferred into the outreach account V. Ministry Team Reports - Youth: Chris Pendleton See Report - Property/Building: Mike Stein See Report - Outreach: Corliss Jenkins-Sherry No report submitted - Gift Giving: Don Lawler Working on developing plans for fall campaign Semi annual reports will be mailed out by the end of June - Worship/Stephen Ministry: Tania Shultz Pastor Dale will talk with Tania regarding the Worship position on council - Education: Pandora Larson Monday June 12 will have a forum on Sunday School ministry VBS went very well with 140 children attending. Thanks to Shannon and Sunni for all of their help. Closets in classrooms will be cleaned out and new shelves put in. For fire codes, the shelves need to be 18 inches from the ceiling and need to be open shelves. There are also plans to clean and reorganize the nursery. -Fellowship: Joan Travis See Attached Report Will clean the kitchen and inventory items in each cabinet. VI. Old Business: Vicki Shearer Don moved that we include the Heritage Girls as a mission outreach of our congregation. Dale seconded the motion. The motion passed unanimously. Chris will contact Carol Campbell regarding details of fees and Lord of Grace representative. Continue VII. New Business Pastor Chris discussed the possibility of hiring a company to build and manage the Lord of Grace website. The cost for this option is $1000. Chris Pendleton offered to build the website by the July council meeting. If Chris is not able to complete the project, then the council will discuss the possibility of hiring a company to build the website. Chris Pendleton will contact Jim McCarty regarding the website. The two microphones and cord that are missing need to be replaced. Mike will check on the insurance deductible. Keys: we need to either re-key the whole church or call in all the keys and reissue on an as need basis. Another option would be to use a key pad. Vicki moved to appoint Don as the head of Lord of Grace security. Joan seconded the motion. The motion passed unanimously. Don will report at the next council meeting regarding the options and cost for re-keying and or using a key pad Office space: As office space changes to accommodate additional staff, use of signage may be necessary to direct people to various locations. VIII Closing Prayer/Adjournment Vicki moved to adjourn the meeting. Mike seconded the motion. The motion passed unanimously. |
