Lord of Grace Council Meeting
July 18, 2006



Members Present: Vicki Shearer, Pandora Larsen, Joan Travis, Pastor Moe, Don Lawler, Ron Paul, Mike Stein, Carol Buuck, Pastor Hermansen, Chris Pendleton

Not Present: Corliss Jenkins-Sherry, Tania Schultz

I. Call meeting to order

Vicki Shearer called the meeting to order at 6:55.

II. Opening Prayer: Pastor Dale

III. Modifications to and approval of Minute:

Ron moved to accept the minutes as written. Don seconded the motion. The motion passed unanimously.

Review of Action Items

Vicki and Don will assimilate all the procedures into a book. Procedures will be approved as completed.

-Preschool job descriptions (Aug. 2005) Completed

- Preschool Contracts (Aug. 2005) Completed

-Vicki and Ron will develop the Safe Access Policy (July 2005) Completed

-Don will report at the next council meeting regarding the options and cost for re-keying and or using a key pad (June 2006) Continue

-Don and Ron will establish a meeting date for the finance committee (May 2006) Continue

-Sunday School teachers should follow the same procedures as Preschool teachers for fingerprinting. The cost for fingerprinting is $46 per teacher plus $5.00 for processing. This cost will need to be in the budget. Continue

-It was suggested that since attendance at Sunday School has been low, that the Education Ministry Team review the format of Sunday School for next year. Forum scheduled for June 12th. (June 2006) Completed

-Each council member should schedule a meeting with Shannon and Ron to reconcile each ministry account. (April 2006) Completed

-Mike will meet with staff and bring a proposal to the next meeting regarding storage space. (May 2006) Continue

-Pastor Dale will talk with Tania regarding the Worship position on council Completed Vicki will follow up.

-Chris will contact Carol Campbell regarding details of fees and Lord of Grace representative. Completed

Reimburse Carol Campbell for the fees. Vicki will send a memo to Corliss regarding benevolence. Ron will have Shannan to cut a check. Continue

-Chris Pendleton will contact Jim McCarty regarding the website (June 2006) Completed

See Youth Report. Chris recommended maintaining all three domains but identify lordofgrace.org as the main domain. The other two would be a redirect to the main domain. Timeline for updating is approximately two weeks.

IV. Pastors’ Reports

Chris will be to promoting the concert on Aug. 4, 2006 at 7:00

V. Treasurer Report: Ron Paul

New mortgage is in effect

Ron will be out of town for the next council meeting so will ask Shannan will make the report in August.

VI. Ministry Team Reports

Youth: Chris Pendleton See attached report

Property/Building: Mike Stein See attached report

AC man will be back this Friday and will discuss deflectors in choir area

Mike will review termite treatment plan.

Parking lot resurfacing will be postponed until next year’s budget

Mike will reset the AC again. He cautioned members not to adjust the thermostat with a knife or other instrument. This will damage the AC unit.

Heritage Girls will be added to the insurance policy.

It was decided to keep the insurance deductible at $500

Mike will arrange a meeting with the insurance representative and Vicki and Ron to discuss coverage of contents.

Our insurance is with Church Mutual Insurance Inc.

Mike will research the crack on the sanctuary and possible

Outreach: Corliss Jenkins-Sherry No report submitted

The outreach project for August will be the Brewster Center for Abused Women.

Gift Giving: Don Lawler

Mid-year account information has been sent to each member.

Planning for the fall stewardship campaign is beginning. Consecration Sunday will be Oct. 15, 2006 and our new Bishop will be the guest speaker.

Worship/Stephen Ministry: Tania Schultz See Pastor’s report

Education: Pandora Larsen See Attached report

Don moved to accept the new Sunday school format. Chris seconded the motion. The motion passed unanimously.

Preschool and Sunday School will share the cost of the shelving in the closets.

Pandora will include MOPS and Preschool with the Sunday School report to the council

Alicia Schultz was recommended as a new hire. All other staff will be returning.

Don moved to approve the hiring of Alicia Schultz as a teacher for the preschool. Pastor Dale seconded the motion. Motion passed unanimously.

Fellowship: Joan Travis See attached report

If people use supplies from the kitchen Joan needs to be informed so she can keep the supplies stocked.

Joan will make an assessment of what supplies we need and then ask members to donate. Storage of items needs to be assessed.

VII. Old Business: Vicki Shearer

Non-member weddings:

Don moved that no more non-member weddings will be conducted unless there is Pastor approval. Ron seconded the motion. The motion passed unanimously.

VIII. New Business

-Judy Klinger asked for an additional meeting for Weight Watchers on Monday mornings. Joan moved to approve the additional time for the Weight Watchers program. Ron seconded the motion. The motion passed unanimously.

-Review of Cappie’s contract. Dale proposed to extend the letter of agreement for another six months and add one week of vacation. Salary will be reviewed at the next budget meeting.

Don moved to extend the letter of agreement for six months. Mike seconded the motion. The motion passed unanimously. Vicki will talk with Cappie

-Senior Group contract is up for renewal.

Don moved that we renew the contract. Ron seconded the motion. The motion passed unanimously.

-Thanks to John and Julie Salaz for hanging banners in the fellowship hall.

- Don is continuing work on the security policy. Don will be issuing keys to MOPS Director, Gina Posey. Don will also issue keys to Alicia Schultz.

VIII Closing Prayer/Adjournment

Don moved to adjourn the meeting. Ron seconded the motion. The motion passed unanimously.
